Before the starting line
We review agreements, organize approved assets, and assign owners and deadlines. You confirm the tracker; we flag unclear terms, missing artwork, and at-risk commitments.
Sponsorship operations · Southern California
You run the race. We coordinate the sponsorship commitments, organize evidence, and prepare clear reports for your next renewal conversation.
For independent race organizers with signed sponsors and an upcoming event.
From agreement to evidence
What you can expect.
01 / The work between events
Logo deadlines, social posts, booth placements, finish-line banners: every benefit needs an owner. We turn scattered agreements and emails into one organizer-approved delivery tracker.
Already have your sponsors?
This service is designed for race directors, event owners, and partnerships managers without a dedicated fulfillment employee. Sponsor prospecting and sales are not part of the offer.
We review agreements, organize approved assets, and assign owners and deadlines. You confirm the tracker; we flag unclear terms, missing artwork, and at-risk commitments.
We coordinate remotely with your designated event-day contact. Your team or vendors execute placements and capture photos, screenshots, and confirmations using our evidence checklist.
We reconcile promises against available evidence, identify missed items, and prepare sponsor reports for your approval—plus practical talking points for renewal discussions.
The reporting standard
Each sponsor gets an overview, promised-versus-delivered benefits, dated evidence, sourced metrics when available, outstanding items, and next-event recommendations.
A photo proves placement—not sales. Missing data is marked unavailable. Renewals, revenue, and sponsor outcomes are never guaranteed.
Fictional sample · Illustrative only
No actual event, sponsor, or result is represented. Verification requires evidence review; follow-up owner: organizer’s event-day contact.
02 / Start with one event
A focused, managed service to bring your next event’s sponsorship commitments into order. No platform rollout required.
Proposed pilot price · Final scope agreed before payment.
Discuss your pilotOne event. A defined scope.
Final reporting is targeted within 10 business days after the event, provided required evidence arrives within three business days.
Additional sponsors, commitments, travel, photography, printing, and on-site staffing require separate pricing.
Your staff or contracted vendors handle physical execution and capture event-day evidence. SponsorFlow coordinates remotely, supplies the checklist, and reviews the files you provide.
We flag ambiguity for your decision—you remain responsible for interpreting or changing contractual commitments. Missed items are recorded honestly with proposed follow-up, not marked complete.
We target delivery within 10 business days after the event if required evidence arrives within three business days. Missing evidence or scope changes may affect timing; we agree on responsibilities and deadlines at kickoff.
03 / Your next event
Tell us what’s coming up and where the admin work gets tangled. Start by preparing a short event brief for your discovery conversation.
This form prepares a brief on your device; it does not send an inquiry or reserve a pilot. Available booking options appear above.
